Keep the CCP monitoring records of your HACCP plan in one Excel file – every check judged against your limits, every deviation followed up, missing checks visible at once.
- Every CCP check judged IN · NEAR · OUT OF LIMIT
- Deviations closed properly: action, product decision, date
- Missing checks found – 14-day matrix vs your minimum
- Instant download: BLANK + EXAMPLE · User guide + printable CCP sheet
- Built by a food production manager · one-time purchase, no subscription, no macros
▶ Requires Microsoft Excel 2016 or newer on a computer (Windows or Mac). Not for Google Sheets, Apple Numbers or Excel mobile apps.
CCP checks are often written on paper sheets per line. An out-of-limit result is not followed up the same day, a missing check is found only at the audit, and the weekly verification is forgotten. This HACCP CCP Monitoring Log brings the records together: register your critical control points once, then enter each check – date, time, CCP, value. Excel judges it against your critical limit at once and tells you what needs to be done.
Built by a production manager from food manufacturing, for food plants and central kitchens that keep HACCP records in Excel.
WHAT IT DOES
- Up to 30 CCPs with critical limits (min, max or both) – cooking, chilling, pasteurisation, cold storage …
- Pass/Fail CCPs for metal detectors, sieves, X-ray or seal checks
- Optional operational limits: NEAR LIMIT warning before the critical limit is reached
- Every check judged at once: IN LIMIT · NEAR LIMIT · OUT OF LIMIT
- Deviations: corrective action, product decision, action by, closed date – Open, OPEN – overdue or Closed
- Deviations list: all out-of-limit checks, open ones first, with days open
- Missing-check matrix: checks done per CCP and day vs your minimum for the last 14 days (production days or every day, holidays excluded)
- Weekly verification sign-off by QA and an 8-week overview (NOT VERIFIED weeks in red)
- Dashboard: last check and result per CCP, next action, out of limit in 30 days, open and overdue deviations
- Printable daily CCP record for the audit file – with missing checks and signature lines
- Check column on every row: incomplete or wrong entries are flagged, wrong rows are not counted
- Records used indicator (5,000 rows per file) and a step-by-step archiving procedure

HOW IT WORKS
- SETUP (10–15 minutes) – plant, production weekdays, non-production dates, people, product decisions
- CCPS – CCP ID, process step, result type, critical (+ operational) limits, minimum checks per day
- MONITORING – one row per check: date, time, CCP, value, batch, checked by → result at once
- OUT OF LIMIT – corrective action, product decision and closed date on the same row
- VERIFICATION – QA signs the week
- DASHBOARD and DAILY_RECORD – review every day, print for the audit file
Example: Cooking CCP, critical limit ≥ 75 °C, operational ≥ 78 °C → 82.5 IN LIMIT · 77.1 NEAR LIMIT · 72.4 OUT OF LIMIT → deviation opens until it is closed.
WHO IT'S FOR
- Food safety and QA managers
- Production managers and HACCP team leaders
- Small and mid-size food manufacturers (ready meals, bakery, meat, dairy, sauces, beverages)
- Central kitchens and caterers with CCPs
LIMITS – PLEASE READ
- A record-keeping tool for the CCPs of YOUR HACCP plan. It does not create the plan, the hazard analysis or validate your critical limits, and it does not check the legal requirements of your country.
- The minimum checks per day finds days with too few records. It does not know how many batches you produced – if your plan requires a check of every batch, record one row per batch with the batch number.
- An Excel file: no audit trail, no electronic signatures, no data-logger import, no alarms or e-mails.
- 30 CCPs · 5,000 checks per file (e.g. 4 CCPs × 4 checks a day ≈ one year) – archive and start a new file when full (procedure in the User Guide).
- For the measuring instruments behind your CCPs see the SmartFactoryTools Calibration Tracker; for bigger corrective actions the CAPA Tracker.
FAQ
Q: Can I use my own CCPs and limits?
A: Yes – up to 30 CCPs with your own names, units (°C, °F, pH, min …) and limits.
Q: How do I record a metal detector check?
A: Set the CCP to Pass/Fail and enter Pass or Fail. Fail = OUT OF LIMIT.
Q: When is a deviation closed?
A: When it has a corrective action, a product decision and a closed date on or after the check date.
Q: Does it work in Google Sheets?
A: No. Built and tested for Microsoft Excel 2016 or newer on a computer.
